Guarantees: Please notify the catering office by 12:00 p.m., 3 working days prior to your function with the guaranteed number of guests you expect to attend. If the function is on Sunday, Monday, or Tuesday, we require the guarantee on the preceding Thursday. If the guarantee is not received 3 days prior to the function, the original expected number will serve as the guarantee. The number of guaranteed guests may not be lowered once submitted, but may be raised upon approval of the catering department.

Menu Selection: Please contact the catering office for an appointment no later than 3 weeks prior to the event, to finalize the details for your function. Groups of 16 or less may order from our regular menus. For groups over 16 we suggest a pre-determined menu. All food and beverage prices cannot be guaranteed until 60 days prior to the event. Our children's meal consists of Chicken Strips and FF $9.95 and our vegetarian meal is a Chef Choice Pasta $22.95.

Entree Selection: You may serve up to three entrees for your event: however, there will be an additional charge for more than one entree selection. You will be required to provide the breakdown of entree choices 72 hours prior to the function, as well as a color coded system to identify your guests' entree selection. Vegetarian and children entrees are available upon request.

Sales Tax and Service Charge: All food prices are subject to 6.65% state sales tax and 20% service charge. All liquor prices are subject to 9.15% state sales tax and 20% service charge. Applicable sales tax is applied to the service charge as required by the State of Minnesota. 

The service charge added to food and beverage prices is property of Olympic Hills Golf Club, which has complete discretion to its use and distribution.

Room Rental and Food Minimums:

For non-member use of our facility we require a room rental and food minimum on Friday and Saturday evenings during the months of May-October and during December. Member sponsorship does not nullify room rental fees. Weekday events do not require a food minimum.

Members and their immediate family are not subject to room rental fees, however, they must meet the food minimum amount required for that specific night. If this does not occur, the room rental charge will be added to the final bill. Food minimums will be quoted by the catering department at the time of booking. Food minimums do not include beverages, taxes or service charge. 

Deposits: A $1000.00 non-refundable deposit will be required for all weekend events. For other events a deposit will be quoted at the time of booking. This applies to both members and non members.

Payment: Payment for all non member functions will be required at least 48 hours of the event by cash or check, credit cards are not accepted. All member events will be billed onto their account.

Function Rooms: Olympic Hills reserves the right to substitute an alternate room should the projected attendance fall below the original estimate. 

Liability: Olympic Hills will not be responsible for any material or equipment left in the banquet area before, during, or after the event. 

Food Regulations: Due to health department regulations and Club policy, food consumed on the premises must be prepared by the club. Leftover food on buffets and hors d'oeuvre tables cannot be given to a guest to take home. Dinner buffets and hors d'oeuvres will be left out for a maximum of 2 hours.

Liquor Service: No liquor will be sold to or consumed on Club premises by any person under the legal drinking age. Identification cards will be requested of any person who appears under the legal drinking age. Olympic Hills reserves the right to refuse service of alcohol to any person or persons. The bar will close at the time entertainment concludes or at 12:30 a.m., whichever occurs first. There will be a $50.00 fee per bartender if sales of less than $300.00 are reached per bartender. 

Smoking/Non Smoking: Smoking is not permitted in the clubhouse. Your guests may smoke outside if they desire. 

Wedding Cakes: You are welcome to provide your own cake. There will be a $1.00 charge per person for cutting and serving of the cake. 

Valet Parking: Olympic Hills will provide valet service upon request. On Friday's during the months of May, June, July, August, and September valet service will be mandatory for groups of 100 people or more. The charge for valet parking is $1.00 per person.  

Dance Floor: Olympic Hills has a 18' by 21' portable dance floor. There will be a $100.00 charge for setting up the dance floor. 

Piano: Olympic Hills has a beautiful baby grand piano, which is available to use. A charge of $25.00 will apply. The catering department will be happy to assist you with a pianist. The piano may also be set up as a player disc piano for a $75.00 fee. 

Music and Entertainment: Olympic Hills will be pleased to recommend music and entertainment, or you may make your own arrangements. All bands and DJ's must set up before the arrival of your guests. 

Centerpieces: Olympic Hills provides a bud vase and a candle for all tables. You are welcome to bring in your own decorations if desired.  Mirrors ($1.00), Votives ($.75) and Cylinder Vases ($1.00) are available to rent.  Confetti is not allowed.

Ceremonies: Olympic Hills has a beautiful white pergola adjacent to our pond & waterfall garden for onsite ceremonies.  The fee is $250.00 and you are required to provide your own chairs, music, decorations etc.  Olympic Hills will setup & take down your rented chairs.
